Reading a Remittance Advice

An 820 has three parts that matter for cash application. BPR is the payment: amount, credit or debit, method (ACH, check, wire) and the effective date. TRN is the trace number, the one your bank shows next to the deposit. Each RMR is an invoice with the amount paid, the original amount and any discount, and each ADX is an adjustment with a reason code.

Deductions are where small suppliers lose money quietly. A late ASN, a carton label that did not scan or a short receipt turns into an ADX line weeks later, and most retailers give you a fixed window to dispute it. The evidence is usually already in your EDI: the 856 timestamp, the PO ship window, the quantities shipped. More on the document itself in the EDI 820 guide, on why deductions happen in EDI chargebacks explained, and on each retailer's rules in retailer EDI requirements. If a document was rejected before it ever reached payment, start with the EDI rejection explainer or check the file in the EDI inspector.

Adjustment Reason Codes (X12 426)

X12 defines over 600 adjustment reason codes, and each retailer picks its own subset. The codes below are the core list the Remittance Coalition and ASC X9 published (TR 42) for the deductions suppliers see most, plus a few common in published 820 guides. Your customer's 820 guide is the final word on what a code means for them.

Frequently Asked Questions

What is an EDI 820?

The 820 Payment Order/Remittance Advice tells you what a customer paid and how to apply it: the payment amount, method and trace number (BPR and TRN), the invoices it covers (RMR) and any deductions or adjustments (ADX). The money itself usually arrives separately by ACH or check.

How do I match an 820 to my invoices?

Each RMR line names an invoice, the amount paid, the original invoice amount and any discount taken. Invoice amount minus discount plus adjustments should equal the amount paid, and the paid amounts plus any adjustments not tied to an invoice should equal the BPR payment. The reader does that math in cents and flags any line that does not add up.

What does ADX mean in an 820?

ADX is an adjustment: an amount the payer added or (more often) deducted, with a reason code from X12 element 426, for example 70 for an ASN not received or 06 for quantity contested. An ADX right after an RMR applies to that invoice; one before any RMR is a deduction not tied to an invoice, such as a compliance chargeback.

Why did my customer deduct money from a payment?

The reason code says why: pricing differences, shortages, damages, promotions and allowances, and compliance chargebacks such as a late or missing ASN, labels that do not scan or routing violations. Retailers publish their compliance programs in vendor guides; where we could trace a retailer's figures to a public source, the reader shows them next to the deduction.

How do I dispute an EDI deduction?

Pick the deduction, paste the 850 and 856 for that shipment, and the reader works out the facts (when the ASN was sent against the ship time, ship date against the PO window, quantity shipped against ordered) and drafts an email with an evidence checklist: PO, invoice, ASN, bill of lading and proof of delivery. Nothing is sent; you review and send it yourself.

Does this read EDIFACT REMADV too?

Yes. Paste a REMADV and it reads the payment total, each DOC line with its MOA amounts, and AJT adjustments with UN/EDIFACT code list 4465 reasons such as 4 short delivery or 3 damaged goods.

Is my remittance uploaded anywhere?

No. The 820, 850 and 856 are read in your browser. Nothing is sent to OrderSync or anyone else, and nothing is saved. The Copy link button puts the documents after the # in the link, which browsers never send to a server.
