Filling In a Bill of Lading

Retail distribution centers check the BOL at the dock against the purchase order and the ship notice. The details they look for are the BOL number (often the one your 856 references), the customer PO number in the order table, the carrier SCAC and PRO number, the seal number, and a package count and weight that agree with the packing slip.

  • Use one BOL number per shipment and quote it on the ASN as the bill of lading reference.
  • Count handling units (pallets) and packages (cartons) separately; carriers sign for both.
  • Mark hazardous materials and keep emergency response information with the shipment.
  • Keep a signed copy: it is the proof of pickup when a delivery is disputed.

Frequently Asked Questions

What is a bill of lading?

A bill of lading (BOL) is the document a shipper gives the carrier when freight is picked up. It is the receipt for the goods, the contract of carriage, and the record of who pays the freight. The driver signs it at pickup and the receiver signs the delivery copy.

What is a VICS bill of lading?

The VICS bill of lading is the standard straight BOL layout from the Voluntary Interindustry Commerce Solutions group (now part of GS1 US), used across US retail. It has ship from, ship to and third party bill-to blocks, the carrier, trailer, seal, SCAC and PRO numbers, a customer order table, a carrier information table with NMFC numbers and freight classes, and signature blocks. This generator follows that layout.

What does freight prepaid, collect or third party mean?

Prepaid means the shipper pays the carrier. Collect means the receiver pays. Third party means someone else, often the buyer's freight payment provider, pays; fill in the third party bill-to address so the carrier can invoice them.

Do I need a freight class and NMFC number?

For less-than-truckload (LTL) shipments, yes: the class (50 to 500) and NMFC item number set the rate. Full truckload and parcel shipments usually do not need them. Use the class your carrier or the NMFC tariff gives for the commodity.

Is this bill of lading form free?

Yes, with no signup. The BOL is built in your browser and nothing is sent to OrderSync. Your addresses are kept in this browser so the next BOL starts filled in.
