Where Deductions Come From

Retailers and distributors compare what they ordered, what arrived and what they were billed. When the 810 bills 50 units and the 856 shipped 45, the payment arrives short and a deduction code explains it weeks later. Comparing the documents before the invoice goes out catches the same mismatch while it is still a correction rather than a dispute.

Each finding names the line, the quantity or price on each document, and the difference in units and money. To draft replies that agree with the PO in the first place, use the EDI response builder. To read or print one of the documents, use the EDI to PDF converter, and to check a single file's structure, the EDI Inspector. When the payment arrives short, the EDI remittance reader breaks down the 820 and its deduction codes. Invoices that arrive as PDFs can be read with the invoice extractor.

Frequently Asked Questions

What is a 3-way match?

A 3-way match checks the purchase order, the receipt or ship notice, and the invoice against each other before an invoice is paid: same items, the quantity billed equals the quantity shipped, and the price equals the agreed price. Buyers run it automatically and deduct the difference when it fails, so suppliers check it first.

Which documents can I compare?

Any two or three documents for the same order: X12 850, 860, 855, 856 and 810 (and 875, 940, 945), EDIFACT ORDERS, ORDCHG, ORDRSP, DESADV and INVOIC, and TRADACOMS orders and invoices. Paste them in any order; they are lined up as order, change, acknowledgment, shipment and invoice.

How are lines matched?

By the item numbers the documents share (UPC, GTIN, vendor or buyer part number) and the PO line number. A ship notice that splits a line across several cartons is added up first. Lines on one document and not another are listed as missing.

What counts as a mismatch?

An invoice that bills more or fewer units than shipped, an invoice price that differs from the agreed price, a shipment over the ordered quantity, a different unit of measure, a different PO number or currency, and lines nobody ordered. Short shipments and unconfirmed quantities are flagged to check. Changes made by a PO change are listed as changes, not errors.

Is my data sent anywhere?

No. The documents are read and compared in your browser. Nothing you paste is sent to OrderSync.
